Custom Systems for Cape Town Businesses

Custom business systems, built in Cape Town.

A custom business system is the admin behind your business, built to fit it: intake and booking forms that land where they should, a customer list you own with every job's history, automations for confirmations, reminders, follow-ups and invoices, and a simple dashboard for the numbers you check every week. It's for owner-run Cape Town businesses that run on forms, bookings and spreadsheets, from R30,000 once-off, scoped on a free 30-minute call with a fixed price and a start date in writing before you pay anything.

The plain answer

What is a custom system?

A custom system is the admin behind your business: everything that happens after a customer fills in a form or sends a message. In most small businesses that admin is the owner, retyping the same details from WhatsApp into a spreadsheet, then into a quote, then into an invoice, and keeping track of where each job is by memory. The system takes that over. One intake or booking form lands where it should, every customer gets a record you own with the full history of their jobs, the confirmations, reminders, follow-ups and invoices go out on their own, and a simple dashboard shows you the numbers you check every week.

It's built around how you actually work, not the other way round, and it works with your website or on its own. If you don't have a website yet, I build those too, from R6,500: see web design in Cape Town, or the work.

  • Built around how you actually work, not the other way round
  • Intake & booking forms that land where you need them: WhatsApp, email, your customer list
  • A customer list you own, with every job's history
  • Automations: confirmations, reminders, follow-ups, invoices
  • A simple dashboard for the numbers you check every week
  • Works with your website, or on its own

The bar I build to: Inspecto, the compliance company my dad runs with 40 staff, where one form on the website feeds every job through 16 stages and nobody retypes anything. I've seen what that does to a business.

Who it's for

Who is this for?

The Custom Systems tier is for businesses that run on forms, bookings and spreadsheets: an owner-run business where every job moves through the same stages and someone, usually you, carries the admin. If your customers order, book or enquire and you're the one retyping it all, this is built for you.

📋

You retype things

The same customer details go from WhatsApp into a spreadsheet, then a quote, then an invoice. With a system it's one form in, and nobody retypes anything.

🔁

Jobs have stages

Enquiry, quote, booked, done, invoiced, paid. Every job goes through the same steps, and right now you track where each one is by memory.

⏰

Follow-ups slip

Confirmations, reminders and the "did you get my quote?" message all depend on you remembering. Automations send them for you, every time.

Not sure whether yours is a website job or a system job? That's what the first call is for. If a booking website or an online shop from R12,000 would do it, I'll say so.

Pricing

What does it cost?

Custom systems start at R30,000 once-off. That's the floor, and I never go below it, but it isn't a price tag: every system is scoped to your business, and you get the number in writing before anything starts. The price is fixed in the written scope, so it doesn't creep. You pay 50% to start and 50% at handover, and nothing for the 30-minute call or the scope itself.

From month one the system runs on a care plan sized to it, R950 to R1,500 a month. That covers managing the hosting and any automation subscriptions, a monthly check that everything works, and up to about two hours of changes a month. For comparison, websites are priced separately: Starter sites from R6,500, Shop & Booking sites from R12,000, each with a R450-a-month care plan. The full list is on the pricing page.

  • From R30,000 once-off, fixed in the written scope before you pay anything
  • Nothing owed for the 30-minute call or the scope
  • 50% to start · 50% at handover
  • Care plan from month one, sized to the system: R950 to R1,500 a month
  • The care plan covers hosting and automation subscriptions management, a monthly check, and up to about two hours of changes a month

By conversation

How does a build run?

Systems are built by conversation, not from a price list. It starts with a 30-minute call where you walk me through how a job moves through your business today, from the first message to the invoice. From that I send a written scope with a fixed price and a start date, and nothing is owed until you say yes. Then it's built in stages you can see working, handed over with training, and looked after from month one.

  1. 01

    A 30-minute call

You walk me through how a job moves through your business today, from the first message to the invoice, and I watch how you actually work. Nothing is owed for the call. Book it on WhatsApp.

  2. 02

    A written scope

What it does, what it doesn't, a fixed price from R30,000, the stages, and a start date. If my next weeks are full I say so and give you an honest date. Nothing is owed until you say yes; then it's 50% to start.

  3. 03

    Built in stages

You see each stage working on real-looking dummy data before the next one starts, so there are no surprises at the end. I never promise an integration I haven't tested first.

  4. 04

    Handover and care

A training session, a short video walkthrough, a copy of the code, and every account in your name. The second 50% is due at handover, and the care plan runs from month one.

Plumbing

What can it connect to?

A system works with your website or on its own. Forms land where you need them: WhatsApp, email, your customer list. If the system sits behind a website I build, that site can take bookings through the tools you already use, such as Fresha, Setmore or NightsBridge, run a shop on Shopify, and take card payments through Yoco or PayFast, with money straight to your bank; and if you use none of those, enquiries come straight to your WhatsApp. The website side is what I do all day: 35+ concept sites, plus the shop built for Café Chiffon in Green Point.

One rule I keep: I never promise an integration I haven't tested. If your tool isn't on this list, I check it before it goes into the scope, not after. Under the hood it's hand-coded web pages and forms, with ready-made automation tools where that's faster than building it from scratch.

  • Your website: a form on it feeds the system directly, or the system runs on its own intake form
  • WhatsApp and email: where forms, confirmations and reminders land
  • Your customer list: every enquiry becomes a record with the job's history
  • Booking tools on the website: Fresha, Setmore, NightsBridge
  • Shops and card payments on the website: Shopify, Yoco, PayFast
  • Anything else: tested before it goes in the scope, never promised on the call
A fair question

Who owns it afterwards?

You do, exactly like a site. At handover you get a copy of the code, and every account the system runs on is opened in your name. The care plan is there so you never have to think about hosting or subscriptions, but the system is yours with or without it, and because it's hand-coded with the accounts in your name, another developer can carry on from your copy if I'm ever not around.

  • A copy of the code at handover
  • Every account the system runs on is in your name
  • Yours with or without the care plan. No lock-in.
  • If I build your website too: domain in your name, a copy of the whole site, and your own editor to change words and photos from your phone

The same promise covers every site I build; the about page explains how I work and why I'm open about it.

Common questions

What's the difference between a custom system and a Shop & Booking site?
A Shop & Booking site (from R12,000) is the front: your customers order, book and pay online, with money straight to your bank. A custom system (from R30,000) is the admin behind it: what happens after the order or enquiry lands, the job's stages, the customer's record, the reminders and invoices, the weekly numbers. Plenty of businesses only need the site, and if that's you I'll say so on the call. See the booking website and online shop pages.
Do I pay anything for the call or the scope?
No. The 30-minute call and the written scope cost nothing, and nothing is owed until you say yes to the scope. Then it's 50% to start and 50% at handover, with the price fixed in writing before anything begins.
How long does a custom system take to build?
Longer than a website, which I aim to have live within about seven days of having your content. A system is built in stages, and the written scope lists those stages and a start date, so you know before you say yes. If my next weeks are full I say so and give you an honest date rather than a hopeful one. You see each stage working on real-looking dummy data before the next one begins.
What does the care plan cost for a system?
It's sized to the system, R950 to R1,500 a month, and runs from month one. It covers managing the hosting and any automation subscriptions, a monthly check that everything works, and up to about two hours of changes a month. The website care plan, at R450 a month, is explained on the pricing page.
What happens to the system if you're not around one day?
It keeps running. You have a copy of the code from handover, and every account it runs on is in your name, so nothing switches off and any developer can carry on from your copy. The same answer applies to the sites I build: domain in your name, a copy of the files, and your own editor.

Let's start

Book the 30-minute call.

Tell me what your business does and how a job moves through it today, from the first message to the invoice. We find a time this week for the call, and after it you get a written scope with a fixed price and a start date. Nothing is owed until you say yes. If it's not for you, no hard feelings.
